Understanding the Importance of Time Zones
Role of Time Zones: Time zones are crucial for numerous functionalities within FIOHS, including scheduling appointments, setting up available hours, and managing campaign timings. Proper time zone settings ensure that all activities are executed at the most appropriate times for users and leads
Setting Up Time Zones
Step 1: Location Time Zone
Ownership Settings: As the account owner, verify that the time zone in your business settings matches your actual location. Adjust this by going to Settings, updating the time zone, and confirming the change with ‘Update Address’.
Step 2: Contact Time Zone
Lead Specifics: While leads may have individual time zones listed in their General Info, campaigns run according to the location’s time zone. It's vital to adjust campaign timings (delays, windows, waits) to avoid messages being sent at inconvenient times.
Booking Appointments: If using the appointment widget, leads book times based on their local time zone. However, reminders for appointments are sent based on the appointment's scheduled time, not the contact’s or user’s time zone.
Optimizing Campaigns Across Time Zones:
Safe Communication Windows: Plan communication for times that are universally convenient across time zones within your target audience. Example: Scheduling messages for noon CST can cater broadly across US time zones.
Appointment Scheduling and Reminders: Time zones automatically align with the user booking the appointment. Reminders follow the appointment time, ensuring precise outreach regardless of regional time differences.
Simplifying Settings for Single Time Zone Operations:
If all leads and customers are in the same time zone and there's no need for multiple settings, you can disable the contact’s ability to select a time zone by toggling the "Disable Contact Time Zone" option under Settings → Company.
This guidance ensures effective communication by aligning with both the operational needs of your business and the preferences of your contacts, guaranteeing communication is always timely and relevant.
